SUMMARY
The BUSIENSS ADMINISTRATOR reports to the Board of Directors and provides support across multiple portfolios. This position plays a key role to the success of the Society and the Mount Royal University Kantorei choir. The Business Administrator will successfully fulfil day-to-day administration, implement and support logistic needs of the Society, complete regulatory and financial matters, provide support for fundraising & marketing activities, and support the Vision, Mission, and Values of the Society.
Working with the Board of Directors and Artistic Director you will:
Administrative
Prepare administrative reports and attend monthly board meetings (2nd Friday of each month)
Operate and maintain the Society office, mail, file physical records and ensure electronic records of the Society are uploaded to the Society’s shared drive
Maintain and distribute contact information for the board and Society in compliance with FOIP and PIPA
Assist the board in scheduling, reserving, and completing Society activities such as concerts, meetings, socials, and so on.
Act as a contact person for members and key stakeholders (e.g., AGLC, CRA, Calgary Arts Development, Alberta Foundation for the Arts, and others)
Attend rehearsals twice a month for 90 minutes to provide communication and build relationships with the board, Artistic Director, choir members, and committees (Mondays evenings between 7:15 – 9:45 p.m.)
Maintain a history of the choir’s works and concerts performed by the choir that includes: Titles of repertoire, dates, venues, conductor, guest artists, accompaniment, audience attendance, and breakdown of ticket information
Provide administrative support not assigned to other
Financial & Regulatory
Prepare of Federal and Provincial reports returns including CRA T3010, AGLC Annual Audits and Use of Proceed Amendments, Alberta Society’s Annual Returns, SOCAN licensing reports, and other required documents
Prepare deposits on behalf of the Society’s with its financial institutions following the Society’s policies and procedures
Prepare and enter payments to and invoices on RBC PayEdge/WayPay for all vendors, contractors, guest performers, service providers and others as directed by the Board
Prepare, track, and file receipts for charitable donations
Ensure the collection of membership records and fees through Mount Royal University
Fundraising
Assist in identifying and administering funding activities and opportunities (e.g., galas and other events that serve to engage our supporters)
Provide assistance to the grant writer and board to gather information for grants and reporting
Enhancement Activities
Assist in planning and administrating enhancement concerts, tours, competitions, and other enhancement activities
Work with the Artistic Director to provide administrative tasks including copying, pulling and filing music, and so on
Attend performances to coordinate and facilitate ticket sales, financial transactions, and assistance to members as needed
Prepare and assist with the distribution of thank you notes to guest performers and others
REQUIREMENTS
Experience
Minimum 3 years of experience in non-profits, the arts, or business administration. Transferrable skills are relevant and considered applicable. Maximum .20 FTE. Must provide own computer, printer, and phone.
Skills
Strong interpersonal skills, a collaborative working style and enthusiasm for building bridges between and among internal and external stakeholders. Familiarity with choirs, music, and the arts considered beneficial.
Flexible working style and ability to exercise initiative, work proactively, and accept responsibility. Willingness to seek help when needed.
Strong verbal and written communication skills to articulate and advance the mission of Kantorei Choral Society.
Experience using a variety of software including Microsoft Office, Google Suite, and other project management software, and office equipment (e.g., laptop, scanner, etc.). Familiarity with electronic payment systems an asset.
